Troubleshooting: Error [E990] Exception in GetPatients...A key has reached a maximum limit...

If you're a PracticeWorks user and see an Error [E990] message like the one below when trying to check in a patient or file patient forms, follow the steps below to troubleshoot.

ERROR: Exception in GetPatients: ERROR [HY000] [Pervasive][ODBC Client Interface][LNA][Pervasive][ODBC Engine Interface][Data Record Manager] A key has reached a maximum limit for user count, session count, or data in use, or has changed stated to expired or disabled. (Btrieve Error 161) 

ERROR [HY000] [Pervasive][ODBC Client Interface][LNA][Pervasive][ODBC Engine Interface] Unable to open table: Patient File.

Troubleshooting This Error

This form of Error [E990] occurs when your office doesn't have enough PracticeWorks licenses to account for Yapi and every workstation that's logged into PracticeWorks (Yapi requires one PracticeWorks license for itself).

To fix this issue:

  1. Sign out of PracticeWorks on at least one other workstation.

  2. Enable auto-logoff in PracticeWorks to free up licenses when a workstation isn't in use.

If your practice sees this error regularly, you may want to consider purchasing additional PracticeWorks licenses to reflect the number that your practice needs to run smoothly.
