Enabling Phone Assistant on Your Workstation

Phone Assistant cross-references incoming phone calls with patient information from Dentrix, Open Dental, or Eaglesoft, showing you an existing patient's details automatically when they call. Once our Technical Support team has installed Phone Assistant on your server, all you need to do is enable it on each computer workstation at your practice.  Check out the steps below to learn how.

Note: To be able to use Phone Assistant, a member of our Technical Support team has to install it on your server first.  If you're interested in using Phone Assistant, contact your Customer Success Manager or our Customer Support team so we can schedule you for an install.

Enabling Phone Assistant on a Workstation

To use Phone Assistant on a workstation at your practice, you need to enable it in that workstation's Local Setup.  To enable Phone Assistant on a workstation:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Local Setup.

  2. In the yellow Options section, find the Phone Assistant box and click Configure:

  3. In the Your Phone Integration pop-up, select the Alert on incoming calls to checkbox. In the box next to it, enter the phone lines that you want to use Phone Assistant with, separated by commas.

    Note: The Technical Support agent who installed Phone Assistant on your server will advise you of which phone lines to enter here during your initial Phone Assistant installation appointment.  If you weren't present during the initial install, consult the team member in your office who was.  They should be able to help you.
  4. Select the Auto popup checkbox.  Then select Popup on ring if you want to see patient details before you answer the call or Popup on answer to see patient details once you pick up.

  5. In the Dial Out section, select the Enabled checkbox.

  6. Next:

    • RingCentral Users: Enter your RingCentral phone number (specifically the direct line connected to the phone at your workstation) in the My Number and Caller ID boxes:

    • Mango Voice Users: Enter the extension number for your workstation in the Extension box:

  7. From the Hot Key dropdown menu, select Q and select the Ask to Confirm checkbox:

  8. Click Save.

  9. Repeat these steps for each workstation you want to use Phone Assistant on.
