Printing Postcards From the Mail Queue
If you've set up YAPI to auto-generate postcards for appointment or recall reminders or if you generated some postcards yourself, the last step is to print your postcards and mail them out. To print your postcards, just follow the steps below.

Printing Your Postcards
To print the postcards you've generated or that were generated by YAPI's automated reminder systems:
-
From the YAPI Dashboard, click Mail Manager
and select Queue.
-
Optional: If you have multiple batches of postcards in the Queue and want to print them all at once, hold down the Shift key on your keyboard and click each batch that you want to print to select them. Then, click Merge to combine them into one batch:
-
Click the batch of postcards you want to print and select Print:
-
In the Print window, select your printer and click OK.
-
In the Printing Postcards message that pops up, check the number of postcard stock pages that YAPI recommends and make sure you've loaded this number of pages into our printer. Then, click Yes to confirm the number of postcards you're ready to print:
-
For Envelope Postcards Only: If you're printing a postcards that you'll insert into an envelope instead of printing the address directly on the postcard itself, you'll see an additional message like the one below. (If not, skip to the next step.):
If you see this message, wait for all your postcards to finish printing, then insert the recommended number of address label sheets into your printer. Then click OK to start printing the address label sheets.
How can I tell the difference between regular postcards and postcards that go into envelopes? In the Mail Queue, the Type of postcard is listed in the column on the far right. YAPI will print patients' addresses directly on batches labelled "postcard."
For batches labelled "envelope," YAPI prints each address on a separate sheet of address labels instead that you can apply to your envelopes separately.
-
When a pop-up appears confirming your print job is done, click Yes to remove the batch you printed from the Queue (so you don't accidentally print a duplicate) or No to leave it in the Queue and remove it later.
Deleting a Batch of Postcards from the Mail Queue
Once you've printed a batch of postcards (or if you have a batch that you don't intend to print) and you didn't remove them during the printing process, you can (and should) delete them from the Mail Queue:
-
From the YAPI Dashboard, click Mail Manager
and select Queue.
-
Click the batch of postcards you want to delete and select Remove:
-
When asked if you're sure you want to remove the postcards, click Yes.
