Replacing Preferred Names from Templates

Do you want to remove Preferred Names and replace them with First or Full Names? YAPI uses a tool referred to as Merge Tags to auto-populate information within emails and mobile messages to introduce relevant information within the messages. These Merge Tags will use designated key terms surrounded by brackets to determine where certain information will autofill, such as in this instance: 

 Merge Tag  Tag Meaning
 [[PREFNAME]]  Preferred Name
[[FIRST]]  First Name
 [[LAST]] Last Name

 

When sending out Reminders to patients, the templates used by default refer to the patient with their Preferred Name. For some Practices, the Preferred Name saved on a Patient's file in the Practice Management Software is usually designated as a field for miscellaneous information outside of its intended purpose, and can be detrimental to a patient's interaction with the practice. To adjust the Merge Tag from [[PREFNAME]] to [[FIRST]], a quick adjustment will need to be made within YAPI.

The following article will show how to replace the Preferred Name within Email and Mobile Templates.

How to Access Manage Documents and Templates

  1. To access the Email and Mobile Template Editor, open the YAPi Dashboard.

  2. Click the Setup and Manage icon 2019-09-03_11-44-13.png at the top of the YAPI Dashboard and click the Manage Documents and Templates option from the dropdown.

  3. When prompted for a password, the password by default should be set as "password" all lower case. 

  4. Within the Manage Documents and Templates window, click on either the Email Templates tab or the Mobile Templates tab.

  5. Click on the specific template you want to edit, then click the Edit button on the right-hand side of the window.

The field to edit the Merge Tags will be the Body text on the left-hand side of the Edit Enhanced Template window.

The large field in the Edit Mobile Template window will contain the Merge Tags.

Removing the Merge Tag

  1. Search for any instance of [[PREFNAME]].

  2. To delete the Preferred Name, remove [[PREFNAME]] from the message.

  3. To add the First Name of the Patient, add [[FIRST]] to the message. 

  4. To add the Last Name of the Patient, add [[LAST]] to the message following the [[FIRST]] Merge Tag.

  5. After making the adjustment, click on the Save button on the bottom right corner of the window.

Some example templates to consider when editing Merge Tags will be the following templates:

NOTE: Spanish versions of the templates below will also utilize the [[PREFNAME]] merge tag. Double check to see if these forms are currently being used at your Practice and make the necessary adjustments.
