Creating Interest Lists

YAPI is able to create and import Interest Lists from the Practice Management Software to collect and send relevant data pertaining to patient information. These lists can be constructed with multiple purposes, such as creating a list of patients that share the same Insurance, or to establish a list of patients for an Email Blast! There are two main methods of using the Interest List feature: the Import Method and the None Import Method. The following article will establish how to create an Interest List, the methods to create one, and how to use an Interest List for an Email Blast.

How to Access the Interest Lists

  1. To access the Interest Lists, open the YAPI Dashboard.

  2. Click the Setup and Manage icon 2019-09-03_11-44-13.png at the top of the YAPI Dashboard and click the Manage Interests Lists option from the dropdown.

  3. A password will be requested. Type "password" in all lower case if the password has not been configured yet. Then click OK. 

  4. A new Manage Interest List window will appear, and a new Interest List can be added by clicking the New button on the bottom-right corner of the window. 

Import Method

The Imported Interest List will be the most commonly used method to utilize Interest Lists as it will aggregate all essential information from the Practice Management Software into an accessible list. Depending on which Practice Management Software is being used the steps needed to create the import file will vary. Thankfully, instructions on how to create text-based interest lists can be found on our YAPI app site. YAPI does require a specific format and file types to process the import correctly: Text Tab Delimited files and Comma-Separated Value (CSV) files.

  • Text Tab Delimited files are text files containing tabs that separate information with one record per line. 
  • Comma-Separated Value files are text files that use commas to separate values. 

To import a text file for an Interest List:

    1. Click on the New button in the bottom-right corner of the Manage Interest Lists window.

    2. Click the Import from file checkbox to create the Interest List with imported data. Name the list for the relevant list being created and click New List

    3. Click the Browse button. This will open a window to find supported files to import as an Interest List.

    4. With the Separator option, select the Tab or Comma option depending on how the file is saved. Open the file to confirm the file type.

    5. The Import Interest List will require specific categories to successfully cross-reference patient data saved in YAPI and the Practice Management Software. These fields will be required and will need to be selected from the associated drop-down for each category. The required fields needed for the Interest List are: 

      • First Name

      • Last Name 

      • Birthdate 

      • Patient ID 

    6. With the Provider option, select the provider that is associated with the list of patients being collected.

    7. With the Details field, note any information in relation to the Interest List.

    8. Once all the fields are fulfilled, click on the Process button on the bottom-right corner of the Import Window. Depending on the number of patients involved, this process will take a few minutes. 

NOTE: Make sure the First and Last Name are in their separate field when importing from the Practice Management Software.

None Import Method

A None Import Interest List is designed to build a growing list of patients over time for many different purposes. For example, create a list called Tooth Whitening and add a patient to it whenever they mention an interest in it. To create a None Import Interest List:

  1. Click on the New button in the bottom-right corner of the Manage Interest Lists window.

  2. Do NOT click the Import from file checkbox to create the Interest List without an import prompt. Name the list for the relevant list being created and click New List

Adding a Patient to an Interest List

Practice Dashboard

To add a patient on the Practice Dashboard to an Interest List:

  1. Right-click the patient you are wanting to add, click on the patient name from the selection, then with the next option selection click Add to Interest List

  2. A new window will appear to add the patient to the Interest List. Click on the Interest List you want to select for the patient, add a comment to the Comment field, and then select a staff member or provider from the Staff Member option. Once all fields are completed, click on the Ok button at the bottom-right corner of the screen.

  3. Hover over the patient in the Practice Dashboard. There will be a Lightbulb icon where it will state that the patient is on an Interest List, the list they are in and the comment added to the patient. Right-clicking the Lightbulb will have an Edit option appear to adjust the interest list the patient is associated with.

Patient Finder

To add a patient from the Patient Finder to an Interest List:

  1.  Click the Patients button 2019-10-31_14-09-50.png on the top-left corner of the Practice Dashboard. From the dropdown, click on Patient Finder

  2. Search for the patient through using either the Last Name, Phone, or Email. Click on the patient and click on the Interest List option. This will open either the Add or Edit options.

  3. Click the Add option to add the patient to an existing Interest List. Click on the Interest List you want to select for the patient, add a comment to the Comment field, and then select a staff member or provider from the Staff Member option. Once all fields are completed, click on the Ok button at the bottom-right corner of the screen.

  4. Click the Edit option to adjust the Interest List the patient is assigned to.  Click the Delete button to remove the patient from the Interest List.

  5. Click the New button to open the Add to Interest List window.

  6. Click the Delete button to remove the patient from the Interest List. This will prompt a confirmation window to confirm the deletion.

 Using an Interest List for Email Blast

  1. On the top in the Practice Dashboard, click on the Online button 2019-11-01_09-54-44.png. From the dropdown, click on the Mail Blast option.

  2. A new Mail Blast window will appear, at the bottom of the window, there is an On Interest List section. Click on the checkbox to enable the feature, and then select the Interest List that will be used for the Email Blast. Click the OK button on the bottom-right corner of the window.
