The Many Ways to Check In Patients

The Practice Dashboard is very flexible in using different methods to check-in patients. Whether using the Practice Management Software integrated with YAPI (Open Dental, Eaglesoft, Dentrix), or accessing patients within YAPI itself, there is a wide array of choices to introduce patients from your schedule or from your records.

The following article will show the different methods in checking in patients into YAPI's Practice Dashboard.

Practice Management Software

The most effective and easiest method of checking in patients into the Practice Dashboard is by using your Practice Management Software normally. YAPI's integration allows actions such as check-ins to register, and as a result, populate the patient within the Practice Dashboard's virtual Check-In Area. 

Open Dental

  1. Click on the patient that is to be checked-in from the appointment book. On the right-hand side of Open Dental, there will be a scroll box that includes a list of status changes.

  2. Click the Arrived option from the scroll box. This will change the white bubble on the top-right corner of the appointment from white to orange.

    NOTE: The office may have a different name used on Open Dental to check-in patients, if uncertain which one either speak to the dedicated YAPI champion in the office or contact YAPI Customer Success.
  3. A successful check-in will result in the patient appearing in the YAPI Practice Dashboard within the Check-in Area.

Eaglesoft

  1. Right-click on the appointment in the OnSchedule window will introduce the dropdown window to adjust the appointment. Clicking the Set Arrival Indicator option will change the status of the appointment.

  2. The arrival indicator will cycle through multiple different status updates.

  3. Continue clicking the Set Next Arrival Indicator option until the ball icon changes to yellow, labeled Arrived.

  4. A successful check-in will result in the patient appearing in the YAPI Practice Dashboard within the Check-in Area.

Adding Patient Arrival

By default, Eaglesoft may not have the Patient Arrival or the Set Next Arrival Indicator available when right-clicking appointments on the schedule.

  1. Right-click in an open space within the OnSchedule columns, then from the dropdown list, click on the Current Settings option, then the Setup option.

  2. The Indicator Setup window will appear. On the right box in the window, click on the Patient Arrival option, then click the Add button.

  3. Click the Ok button to save the current changes, then test the feature by right-clicking on an appointment to see if the Set Next Arrival Indicator is available.

Dentrix

  1. Right-click the patient being checked-in and click the HERE option from the Status dropdown list.

    NOTE: The status may be different depending on the office, but should be similar in action.

  2. The appointment in the Appointment Book will change colors, the HERE color will be different depending on the practice.

  3. A successful check-in will result in the patient appearing in the YAPI Practice Dashboard within the Check-in Area.

Patient Finder

The Patient Finder is a built-in patient search function that has the capability of adding active patients into the Check-In Area.

  1. Within the YAPI Practice Dashboard, click on the Patients button 2019-10-02_12-37-49.png.

  2. From the dropdown, click on the Patient Finder option. The Patient Finder window will appear.  

  3. Use the available search options to find the patient (Last Name, Phone, etc) with the Search bar.

  4. Click the Search button after inputting the required information, this will populate a list of patients. 

  5. Click on the patient that will be checking in, then from the dropdown box, click on the Check-In option.

  6. If the action was successful, the patient will appear in the Check-In Area ready for an operatory.

Today's Schedule

Today's Schedule will show a list of available appointments that are occurring today. Essential information such as Name, Gender, Provider, Mobile Number, and Email Address.

  1. Within the YAPI Practice Dashboard, click on the Patients button 2019-10-02_12-37-49.png.

  2. From the dropdown, click on the Today's Schedule option. This will bring up the Today's Appointments window.

  3. Click on the checkbox for the patient that will be checking in, then click on the Check-In button.

  4. If the action was successful, the patient will appear in the Check-In Area ready for an operatory.

iPad

The iPad serves to work similarly to the workstation version of the Patient Finder when checking in patients into the Practice Dashboard. The iPad may require additional configuration to allow for Check-In and Dismissal actions. These configurations can be achieved by following the iPad Recommended Setup - Check-In article.

  1. From the iPad's Practice Dashboard, tap on the Patient Finder option at the top of the iPad screen.

  2. A dropdown with different search options will appear. Tap on any of the search options and input the necessary information. Then, click the Search button on the right-hand side. 

  3. A list of available patients will appear. Press and hold down on the patient, then tap on the Check-In option from the list of options that appear. 

  4. Clicking the Back button on the top-right corner of the iPad will return the user to the Practice Dashboard, and the checked-in patient will be available in the Check-In Area.
