Practice Online Portal - Email Templates

To view the Email Templates:

  1. On the Navigation Pane, click on Templates.

  2. A dropdown will appear, click on the Email Templates option.

  3. A page will appear showing a list of campaign categories a template can be assigned to, an Import Template button on the top left corner, and a Create Template button on the top right corner. 


  4. Clicking the Import Templates button will open a file explorer window to select a saved template on the computer. Templates can be found by downloading them from the YAPI Template Resource site (requires user login to access), a .json file exported from the Email Template page, or a .zip folder containing the template which can be exported via YAPI's Manage Document and Template window. 

    NOTE: On the YAPI website for importing supported templates,  click on the Install option, it will automatically import the template into the Practice POP.


  5. Clicking the Create Template button will redirect the user to a new page, this page will be dedicated to the construction of the templates used for Email Campaigns.


    1. The top of the Template Creation will require the Name of the template, the Subject associated with the template, the Category the template will be allocated to, and the Language assigned to the template.

      NOTE: The template associated with a category will be found in the main Email Templates page where the main categories will be listed and expanded. 

    2. A toggle is available in the bottom-left corner of the title section. When the toggle labeled Edit Mode is set the many sections related to the template can be adjusted, and Preview Mode will allow the template being worked on to be quickly shown in its current state during the template creation. 

    3. The Test Email button in the bottom-right corner of the title section will allow for the template to be used in a test email to see how it will appear when it is actually received by a patient. A window will appear requesting the email to send the test.


    4. The Practice Logo section will introduce the Practice Logo within the email. Clicking the Edit button 2020-03-30_11-52-55.png in the top-right of the section will open a window to choose whether the Practice logo should or should not be introduced into the email with the use of the None or Default Practice Logo options. 


    5. The Image section will introduce an image that will be used in the email body. Clicking the Edit button 2020-03-30_11-52-55.png in the top-right of the section will open a window to choose whether an image should be linked or not in the email with the use of the None and By Image URL options. This image can be hosted on your practice site or on an image host site like PostImages or can be hosted on YAPI's pre-existing image hosting server after a ticket request.

  6. The Body section is dedicated to the written content will be found within the email template. The section will contain a suite of options to adjust the content of the email and the ability to even add in Tags into the email to automatically populate patient names and context-sensitive material. 


  7. The Buttons section allows for the email template to include major links to redirect the user to essential information or content.


    Tip! An example would be to introduce New Patient and Existing Patient Online Packages for each button for easy document submission. 

  8. The Communication Options section is dedicated to giving patients additional links to access communication with the practice (Email, Website, and Facebook). These links can be adjusted on the Practice tab of YAPI's Global Setup.


  9. The Google Review section is dedicated to enabling whether a Google Review link should be made available in the email template. This link is housed in the Practice tab of the Global Setup and the link can be gathered by finding the Google Place ID.


  10. The Maps section is dedicated to enabling showing the map of the practice location within the email template. The link used to show the location is housed in the Practice tab of the Global Setup and the link can be gathered by finding the Google Place ID.


  11. The Advertisement section is dedicated to allowing the practice to introduce their own personal ad or additional link on to the email for patients to be interested in. This will require a hosted URL of the image and a link to the website for the advertisement to redirect the patients.


  12. Once done, the Email Template can be saved by clicking the Save button at the bottom of the Email Template creation page. Otherwise clicking Cancel will terminate the current creation.


  • Once saved, the template will be housed in one of the categories that it was assigned to in the Email Template page. Clicking one of the categories will expand the section to show the templates available, with a set of options below to further interact with the email template.


    • Edit2020-03-30_13-38-01.png- The Edit button redirects the user to the email template creation page with the current template selected.

    • Copy2020-03-30_13-38-01.png- The Copy button refreshes the Email Template page and adds a copy of the selected template next to the original.


    • Export2020-03-30_13-38-01.png- The Export button will download a .json file of the template to the computer accessing POP, and it can be imported to another POP's Email Template creator, or imported to another YAPI Document and Template window within a .zip folder.

    • Delete2020-03-30_13-38-01.png- The Delete button will delete the selected template from further use and will no longer be available in the Email Template page.
