Practice Online Portal - Sending a Mass Text

With the use of YAPI's Mass Texting Feature within POP, offices can contact patients on selected appointment dates for real-time updates like emergencies, parking, or inclement weather.

NOTE: Please note that messages sent via this feature should only be used for contacting patients regarding their appointment. Any marketing-related messages may violate FCC rules and can be subject to fines and civil penalties.

Mass Texting Appointments 

  1. Log in and open the Practice Online Portal.

  2. On the Navigation Pane on the left-hand side, click on the Appointments option.

  3. An empty window with a date search will appear at the top. Click on the date search and a calendar will appear.

  4. Click on the date to view and a list of available patients will appear.

  5. At the bottom of the Appointments page, a Message box is available and can be used to message multiple patients that are listed on the date of the appointment.

  6. The user can then proceed to fill out a message for the group of scheduled patients, then click the Send button. All mass texts are limited to a total of 256 characters. These messages will be sent to the cell phone number saved on the Practice Management Software associated with the patient.

Mass Texting the ASAP List

  1. Log in and open the Practice Online Portal.

  2. On the Navigation Pane on the left-hand side, click on the Smart Fill option.

  3. The page will default to the ASAP Menu, click on the Filter button on the top-right corner of the screen.

  4. A set of filter options will appear, click on and type in the necessary fields to narrow down the list of ASAP patients.

  5. At the bottom of the Smart Fill page, a Message box is available and can be used to message multiple patients that are listed on the filtered list.

  6. The user can then proceed to fill out a message for the group of scheduled patients, then click the Send button. All mass texts are limited to a total of 256 characters. These messages will be sent to the cell phone number saved on the Practice Management Software associated with the patient.

  7. Clicking the Send Preview button on the top-left side allows the user to see how the message will be sent to the select patients before committing to the mass text. The preview will request a mobile number to view the message through the phone before sending.

  8. An additional window will appear requesting confirmation for the message sent. Click the Yes button to continue sending, or the No button to return back to the prior page. The text message cannot be canceled from sending.

Mass Texting the Recall Past Due List

  1. Log in and open the Practice Online Portal.

  2. On the Navigation Pane on the left-hand side, click on the Smart Fill option.

  3. The page will default to the ASAP Menu, click on the Recall Past Due tab at the top of the screen to change to the Recall Past Due Menu.

  4. A set of filter options will appear, click on and type in the necessary fields to narrow down the list of Recall Past Due patients.

  5. At the bottom of the Smart Fill page, a Message box is available and can be used to message multiple patients that are listed on the filtered list.
