Smart Scheduling bases its appointment schedule on what is already configured in its Practice Management Software. Any changes will be instantaneous and can be adjusted quickly to work around the schedule that best fits the Practice at that time. Whether a certain day needs to be disabled temporarily for an emergency, a Provider needing to leave early or go on vacation, and even a schedule overhaul, Smart Scheduling can reflect those changes. The following article will show how to adjust the schedule on Dentrix to change the available appointments for Smart Scheduling.
Table of Contents
If the Office is going to need a day off from appointments due to an internal meeting, technical difficulties, or have the office close early for just that day:
In the Dentrix Appointment Book, click on the Setup option from the top of the window, then from the dropdown click on Practice Schedule.
The Schedule Calendar window will appear. Click on a day that is available or closed, then click the Office Closed option on the top-left corner of the window.
Depending on how the day is set initially, click on either Close Office on selected date or Open Office to have a prior closed day available.
Double-clicking a day on the calendar will open the times for the day. If the day needs to be cut short or have an extended break, the times can be adjusted to reflect the change.
Practice Appointment Schedule
To establish a new appointment schedule for the entirety of the office, whether it be new hours for the foreseeable future:
In the Dentrix Appointment Book, click on the Setup option from the top of the window, then from the dropdown click on Practice Appointment Setup.
The Default Schedule on the left-hand side will contain the enabled days the Office will be available, and will also adjust the rules set in Smart Schedule. Check the days that will be available for the office.
Clicking the arrows next to the day will open the times that will be available for said day. These will also be reflected in the main schedule for Smart Scheduling.
If a specific Provider is going to be absent for a set amount of time or has a schedule change:
In the Dentrix Appointment Book, click on the Setup option from the top of the window, then from the dropdown click on Provider Setup.
The Provider Setup window will appear, then highlight the Provider Alias for the specific Provider.
Clicking the Setup button will change the default schedule associate with the provider in question, adjusting the days they are available throughout the weekly schedule.
NOTE: It is important to make sure the Provider's schedule follows the constraints set in the Practice's schedule. For example, a Provider's schedule must not surpass or exceed the time set on the Practice schedule, otherwise, an error will occur during Smart Scheduling.
