Reminder Exclusions

Want to minimize the number of unnecessary reminders to patients? YAPI is able to narrow down and exclude certain providers, operatories, and procedures when establishing reminders for upcoming appointments.

How to Access Reminder Exclusions

  1. From the YAPI Practice Dashboard, click on the Setup and Manage 2019-09-03_11-44-13.png button, then click the Global Setup option.

  2. A password request will prompt, type "password" into the field if the password has not been configured, then click OK.

  3. From the Global Setup window, click on the Reminders tab. 

Providers Exclusions

The Providers section will be set to up to include three buttons to choose from to set the rules for reminders being sent out.

  • All - Enabling the All option will have reminders associated with all recorded providers be sent out. 

  • Exclude - Enabling the Exclude option will have all reminders except for specific providers to be sent out. These can be configured by clicking the Right Arrows button on the right of the open field box to open a new window. This window will show all available providers to choose from.

  • Include - Enabling the Include option will have reminders only associated with the selected providers to be sent out. These can be configured by clicking the Right Arrows button on the right of the open field box to open a new window. This window will show all available providers to choose from.

Operatory and Procedure Exclusions

  1. Within the Reminders tab, in the bottom of the window click on the Edit button in the More Options section.

  2. The Ignore Appointments section in the bottom-right corner of the window will allow the user to ignore certain operatories and procedures that are saved in the Practice Management Software.

  • For Operatories - This will exclude patients assigned to a specific operatory appointment from receiving reminders. Type in the exact name of the operatory into the field below. This field is case sensitive and multiple operatories can be added with the use of commas. 

  • For Procedures - This will exclude patients assigned to a specific Procedure and its assigned code from receiving reminders. Type in the exact Procedure code into the field below. This field is case sensitive and multiple procedure codes can be added with the use of commas. 

NOTE: Be aware that there might be conflicts when establishing exclusions between Providers, Operatories, and Procedures. If this occurs, reminders may not be sent out for patients that are expected to receive their messages. Ensure that the rules set for the office are valid before applying any changes in the settings.
