Renaming Documents and Editing Templates

Need to rename a preexisting document or template or make a copy of an existing version? When making adjustments to a pre-created document or template, it's smart to keep the original draft of the file so as to come back when significant changes need to be reverted. In order to do this, the file will need to have its name changed and by making a new name, the file will create a duplicate of the original using the new name. This way, the original can still be saved for later.

To rename documents and templates, do the following:

  1. To rename a document, open the YAPI Dashboard.

  2. Click the Setup and Manage icon 2019-09-03_11-44-13.png at the top of the YAPI Dashboard and click the Manage Documents and Templates option from the dropdown.

  3. When prompted for a password, the password by default should be set as "password" all lower case. 

  4.  Within the Manage Documents and Templates window, click on the iPad Forms tab. 

  5. Look and click on the document you wish to edit, then click on the Edit button on the right-hand side of the Manage Documents and Templates window. 

Editing the Names

At the top-left corner of the Form Builder will be the Title and Name field of the document. Although similar, the primary function for each instance is to change how the name will appear in either the Online version or the iPad version of the form. 

Once making the adjustment to the Name field, this will prompt YAPI to create a new copy of the document after clicking the Save button in the bottom-right corner of the Form Builder. 

If the form is grayed out, it means the form is currently inactive. Double click on the form to prompt the form for active use. A Change status window will appear confirming if the form is available for future signing. Click the Yes button and the form will turn black in the list of forms.

Once the form is available, it can now be signed on the iPad for patients to use within the office.

Title

Replacing the Title will change how the document will be seen when used as an online form.

The title will be visible at the very top of the form.

Name

Replacing the Name will change how the form is seen on the iPad.

Typically this name will be found in the Forms list or at the very top of the form when being signed by the patient.

Templates

How to Access and Edit Templates

  1. To rename a template, open the YAPI Dashboard.

  2. Click the Setup and Manage icon 2019-09-03_11-44-13.png at the top of the YAPI Dashboard and click the Manage Documents and Templates option from the dropdown.

  4. Within the Manage Documents and Templates window, click on either the Email Templates tab.

  5. Click on the specific template you want to edit, then click the Edit button on the right-hand side of the window. 

Editing the Name

Changing the name of the email template can be done by replacing the Name on the top-right corner of the Template Builder.

The Subject will be what the patient will see when they receive the email. 

Once making the adjustment to the Name field, this will prompt YAPI to create a new copy of the template after clicking the Save button in the bottom-right corner of the Template Builder. 

The new version of the template may be greyed out in the Template list, and activation can be done by double-clicking the template to authorize it for use.
