Creating an Email Opt-Out List of Inactive PracticeWorks Patients

Although based on the Open Dental infrastructure, PracticeWorks currently has difficulties identifying key information related to patients during YAPI's automation processes such as Email Blasts. Specifically, the determination of whether a patient is considered active or inactive at the office. To bypass this issue, an Opt-List would need to be created prior to any mass messaging being applied.

Creating and Applying Opt-Out List

Before applying any opt-out lists to YAPI, an exported listing showing all inactive patients must be generated as a supported file type (ie .txt). Some rules that need to fulfilled when creating a list for YAPI's Op-Out:

  • The exported list must only contain the email address of the patient.

  • The list must not contain a header name or title. 

  • The list must be formatted in a single column. 

  1. Refer to the SoftDent: How to Generate a List of Total Inactive Patients article to create the necessary listing of patients for the Opt-Out list.

    NOTE: Contact SoftDent Support if you are experiencing difficulties exporting this list. When the .txt is created in PracticeWorks, the information will be surrounded in parenthesis (ie "Jonathan Hunt" ""). To remove these parentheses effectively, open the Text Document and click the Edit option on the top-left. From the dropdown, click on the Replace option and replace all the Parentheses with blanks.


  2. Once the list is generated, proceed to open up YAPI and proceed with the following:


  3. Click the Setup and Manage icon 2019-09-03_11-44-13.png at the top of the YAPI Dashboard and click the Manage Opt-Out Lists option. 

  4. The option will include three choices, Opt-Out Email List, Do-not-contact Phone List, and Migrate Opt-out List.

  5. Click the Migrate Opt-out List option, this will open a File Explorer.

  6. From the Filer Explorer, search and click on the .txt file that will be migrated into YAPI, then click the Open button at the bottom-right corner of the File Explorer.

  7. The File Explorer will disappear, and to confirm that the data was transferred successfully, open the associated opt-out list and search for the imported patient data. 

Email Blast


  1. Click the Online online.png button, this will create a drop-down list. 

  2. From the drop-down list, click on the Mail Blast option.

  3. Enter your password, then click OK. 

  4. This will open a Mail Blast Window with an additional window set to show patient filters.

  5. Apply the necessary recipient information, but ensure Status is set to All Patients
