Creating an Email Opt-Out List of Inactive PracticeWorks Patients

If your practice uses PracticeWorks, YAPI is unable to distinguish active from inactive patients when sending mass emails.  As a workaround, if you want to use YAPI's Mail Blast feature, you must import your inactive patients to YAPI's Opt-Out List so that YAPI knows to exclude them. To do this, just follow the steps below.

Important! Once you import your inactive patients into YAPI, always select All Patients instead of Active Patients when sending a Mail Blast:

Step 1: Preparing an Inactive Patient List from PracticeWorks

To opt out your inactive patients in YAPI, you need to export a list of their emails from PracticeWorks first:

  1. In PracticeWorks, export a .txt file of your inactive patients.

    Note: If you have any issues exporting this list, please contact SoftDent Support directly.
  2. Open the text file you exported in Notepad (found on all Windows computers). 

  3. In the toolbar, click Edit and select Replace.

  4. In the Find What box, enter one quotation mark as shown below and in the Replace With box, enter one blank space. Then click Replace All. (This removes all the quotation marks from around patients' email addresses.):

  5. Remove any other information in the list that isn't an email address (like patient names or a heading).

  6. Save and proceed to Step 2: Importing Your Inactive Patient List into YAPI below.

 

Step 2: Importing Your Inactive Patient List into YAPI

  1. In the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png.  Select Manage Opt-Out Lists, then Migrate Opt-Out List.

  2. In the window that opens, locate the file you created in Step 1 above.  Click to select it, then click Open.
