Practice Online Portal - Setting Patient Scheduling Preferences

Patient scheduling preferences can be set or adjusted by the patient when using Smart Scheduling or by a staff member with a POP login. In POP, patient preferences will populate in the ASAP, Recall Past Due, and Patient Profile sections and can be updated by the practice if necessary. The following will show how to adjust the patient appointment preferences from within the Practice Online Portal. 

ASAP Appointments

To view the ASAP list to edit the appointment preferences:

On the navigation pane, click on Smart FillThis will initially open the ASAP List and populate potential patients to contact when openings or cancellations from other scheduled appointments occur.

Scheduling Preferences set by a member of the office will appear on the right-hand side as an 2020-12-23_14-19-02.png icon will appear on the far-right column. Clicking on the icon will introduce a pop-up window showing a summary of the preferences set for the specific patient.

Click the Filter button on the top-right corner to have a filter dropdown. This will allow for narrowing down specified patients that can fit particular appointment preferences needed for a particular day and provider. 

  • Daily Availability Preference allows the user on the Practice Online Portal to set the time of day that should be appropriate for an appointment slot. 

  • Date Range Preference allows the user on the Practice Online Portal to filter for the date that is required to fill a slot for upcoming appointments.

  • Provider Preference allows the user on the Practice Online Portal to set the Provider the patient requested or for the provider available for a potential appointment.

Click on a particular patient on the ASAP or Recall list will show all information that is available for that particular patient. At the bottom of the page will show the Scheduling Preferences.  

Scheduling Preferences are the preferences set by the patient or by the office. Click on the Edit Preferences button to allow for a new page to edit the preferences.

  • Daily Availability introduces toggles and checkboxes to adjust the availability for the selected patient. Toggling a specific day will introduce the checkbox selection to determining the time of day (Morning and Afternoon). 
  • Preferred Date Range adjusts the range in which an available appointment can be made for the patient, with the Earliest and Latest dates being the set parameters.
  • Preferred Providers can adjust the provider that can be chosen for the patient. Adding or subtracting providers will also determine the best choice for the patient when combined with the date and time the patient is set for. 

Recall Past Due Appointments

To view the Recall Past Due list to edit the appointment preferences:

On the navigation pane, click on Smart FillThis will initially open the ASAP List and populate potential patients to contact when openings or cancellations from other scheduled appointments occur. Clicking on the Recall Past Due tab at the top will adjust the list showing all past due patients listed.

Patient Profile

To view the Patient Profiles:

On the navigation pane, click on PatientsThis will initially open a search field. Type in either the Last Name, Email, or Phone number for the specific patient assuming the patient is active.

The patient list will appear after applying the search features. Under the patient status, the New Patients (Non-active) and Existing Patients (Active) will be a factor in determining whether the preexisting scheduling preferences are set for that patient.

Clicking the patient within the list will open the patient information related to the patient, the Schedule Preferences will be found at the bottom of the page.
