Renaming & Creating Copies of Email Templates
On occasion, you may want to change the name of a YAPI email template or make a copy of an email template to edit. In YAPI, this is the same process: renaming a template automatically creates a new copy with the new name (similar to Save As in Microsoft Word). Follow the instructions below to rename your template, creating a new copy.
Warning! If you change the name of an Appointment Reminder, Recall Reminder, or New Patient Welcome template, you must replace the old template with the newly named one where it is used in YAPI. Learn more about this in the Replacing New Patient Welcome & Reminder Templates section below.

Renaming a Template

From the YAPI Dashboard, click Setup & Manage and select Manage Documents and Templates.

When prompted, enter your YAPI password.

In the Email Templates tab that pops up, click the name of the template you want to rename or copy.

Click Edit.

In the Enhanced Template Editor, change the name of the template in the Name field and click Save.

Optional: Make additional edits to the template, then click Save again. These edits only apply to the new copy of your template with the new name. For more information about editing your email template, see Creating an Enhanced Email Template.

Close the Enhanced Template Editor and click away to another tab within the Manage Documents and Templates window.

Click back to the Email Templates tab. Make sure your template with the new name appears here. Double-click the name and when a popup asks if you want to make the template available in YAPI, click Yes.
Deactivating the Original Template

If you want to keep the original copy of the template but deactivate it so it doesn't show up as an option when sending an email, navigate to the Email Templates tab of Manage Documents and Templates.

Locate the original template name in the list.

Double-click the name and when a popup asks if you want to make the template not available in YAPI, click Yes.
Deleting the Original Template

If you want to delete the older version of your template, click the old template with the old name, then click Remove.

When asked if you're sure you want to remove the template, click Yes.
Replacing New Patient Welcome & Reminder Templates

If you've renamed an Appointment Reminder template, replace it in the Reminders tab of Global Setup using the instructions in Editing Appointment Reminder Text, Email, & Postcard Templates.

If you've renamed a Recall Reminder template, replace it in the Recall Manager using the instructions in Customizing Recall Reminders.

If you've renamed a New Patient Welcome template, replace it in the Automation tab of Global Setup using the instructions in Enabling Your Automated New Patient Welcome Email.
