Updating the Lists of Medical Conditions, Allergies, & Medications That Show on Your Medical History Form: Dentrix G5-G6

The lists of Medical Conditions and Allergies that display on your YAPI Medical History forms are generated by you in Dentrix and imported into YAPI.  This way, when your patient marks that they have a condition, the data inputs easily back into their Dentrix Health History when you file their form.  

These lists are imported by our Technical Support team at installation, but if you ever need to update them, follow the instructions below.

Note: These instructions are for users of Dentrix G5 and G6.  If you use Dentrix G7 and above, see our instructions for G7+ instead.  Lists of medical conditions, allergies, and medications are not editable in Dentrix G4.

Step 1: Updating Your Lists in Dentrix

Changes to the Medical Conditions and Allergies that show on your Medical History forms always start in Dentrix.  If you've already made these changes, skip to Checking Your Lists in YAPI below. 

Changing your lists in Dentrix:

  1. In Dentrix Office Manager Screen_Shot_2021-06-18_at_10.44.31_AM.png toolbar, click Maintenance.  Select Practice Setup, then Definitions

  2. In the Definition Type menu, select Medical Alerts.

    • Add: Click Add, enter it into the Description box, and click OK.

    • Edit: Select the item you want to change, then click Change.  Change its name in the Description box, and click OK.

    • Delete: Select it from the list and click Delete.  Then click OK.

  3. Important! Make sure there is a condition called "Other."  If there isn't one, add it using the same procedure as above.

  4. Click Close to save your changes.

Note: When you change your lists in Dentrix, you may also see this notification in YAPI, recognizing the change:

Step 2: Checking Your Lists in YAPI

  1. From the YAPI Dashboard, click Tools, then select Administrative Tools, then Lists.  

  2. From the dropdown, select Medical Conditions.

  3. Click Save

    • If a warning pops up saying you have duplicates, delete the duplicates in Dentrix, then come back to check your lists in YAPI again

    • If a popup asks if you want to update your online list, click Yes, then Yes again.

      You'll know the list is finished updating when the list window closes.

 

Step 3: Testing Your Medical History Form

Before giving your form to patients, we recommend testing it to make sure your updated list shows and that information on the form integrates properly back into Dentrix.  To test your form, you need a test patient checked into the YAPI Dashboard. 

Checking in a test patient without making an appointment:

  1. From the YAPI Dashboard, click Patients Patients.png and select Patient Finder.

  2. Enter the name of a test patient from your practice management software and click Search.  Most practices have a test patient named Test Test, YAPI Test, or Test YAPI.

  3. Click the name of the test patient and select Check-in.

Testing your form:

  1. From the YAPI iPad App Dashboard, swipe across your test patient.  When the Forms & Documents section opens, scroll down to the Forms section and tap on any Medical History form to open it.

  2. When the form opens, review it to make sure the updates to your lists are showing.  If they're not, repeat Step 2 above and make sure your lists are fully saved before opening the form again.

  3. Complete the form as the test patient, selecting at least one new medical condition.

  4. File the form into Dentrix.  (If your Medical Histories file automatically using Fast Import, you can skip this step.)

  5. In Dentrix, open the test patient's Health History and make sure the conditions and medications you selected on the form show up.

    If they don't show in Dentrix, try restarting Dentrix and testing the form again.  If the conditions and medications you selected still don't show, reach out to our Customer Support team.  This may indicate an issue with your form or your connection between YAPI and Dentrix.
