Changing Practice Contact Information Within YAPI

At install, our Technical Support team enters your practice's name, address, email, phone number, website, and Facebook page address in Global Setup so that YAPI can include that information on your outgoing communications to patients.  Your installer also adds the email addresses where you'll receive patient responses and YAPI communication logs.  If you want to view or edit your current contact information, follow the instructions below.

Practice Contact Information Stored in YAPI

number1.png  Practice Name

This name shows as the sender for your emails and is used within all patient communications as the name of your practice.

number2.png  Address 

This address shows at the bottom of all emails and as the return address on all printed postcards. It also appears on the linked mobile nanosites for text reminders and InstaReview requests.

number3.png  Email

These email addresses receive communication either from your patients, from YAPI, or both.  While most practices use the same email for every field so that all their YAPI-related emails come to the same place, you can have a different email address in each field:

General Inquiry:

  • Receives email responses from patients when you email them individually or via a Mail Blast. 
  • Is listed on any non-reminder email template that has "Email" selected as a communication option.
  • Displays on the mobile nanosites for text reminders and InstaReview requests.

Practice Administrator:

  • Receives the New Patient Communication Log listing the new patients added to your practice management software that day and who received a New Patient Welcome email with their registration paperwork.

Appointment Confirmation/Request:

  • Receives responses from patients when they respond to an Appointment or Recall Reminder email.
  • Shows in the text of Save the Dates, Appointment Reminders, and Recall Reminders.
  • Is linked as an additional email icon on email templates that have "Email" selected as a communication option.
  • Displays on the mobile nanosites for text reminders and InstaReview requests.
  • Receives the Daily Reminder Log Emails listing reminders that YAPI sent that day.

YAPI Administrator:

Note: Emails sent to patients via YAPI - like Mail Blasts, Appointment Reminders, and Recall Reminders -  are all sent through mailer@yapi.me but will always show your Practice Name as the sender.

number4.png  Telephone

This phone number displays in patient communications like outgoing emails and text reminders.  It also appears on the mobile nanosites for text reminders and InstaReview requests.

number5.png  Website

This is the website link associated with the dental practice and appears on the linked mobile nanosites for text reminders and InstaReview requests as well as any email templates that have "Web" selected as a communication option. If your practice doesn't have a webpage, leave this blank.

number6.png  Facebook

This is the website link to the official Facebook page for your practice and appears on any email templates that have "Facebook" selected as a communication option.  If your practice doesn't have a Facebook page, leave this blank.

blackX.png  Google+

Leave this blank.  As of March 2019, Google+ has been discontinued as a platform. 

blackX.png  Google Place ID

Leave this blank.  The Google Place ID, when place here, no longer offers a functioning feature.  The Google Place ID should be used within your InstaReview setup instead.

number8.png  From PMS

Click the From PMS button to import your practice's contact information directly from your practice management software (Dentrix, Open Dental, or Eaglesoft). When using this option, check all the fields to make sure the information was imported correctly.

Click the Open button next to each link to preview it and make sure the link works correctly.

Tip: Many of YAPI's text, email, and postcard templates pull this practice information by using Merge Tags, a simple code in the template surrounded by double brackets [[ ]].  You can add additional Merge Tags to your templates by checking out the Related Articles below.

 

Viewing & Editing Contact Information

  1. From the YAPI Dashboard, click Setup & Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password.

  3. In the Practice tab of Global Setup window that pops up, locate your practice's contact information on the left-hand side.

  4. Click into any field to make edits.

  5. Click Save. 

  6. When a window pops up asking you to restart workstations, click Yes.  You don't need to restart your workstations for these changes to take effect.
