What Is the Daily Activity Report?

YAPI's Daily Activity Report is like your practice's daily report card: it provides details about each appointment for the day and shows you how well your team did overall.  Gathering data from both YAPI and your practice management software, the report shows:

  • A breakdown of patients seen, average wait time, and production for each provider
  • Total production and collection for the day
  • Total time each operatory was used and the percentage of usage
  • Number of patients seen for the day
  • Number of new patients
  • Number of late patients
  • Number of patients that waited too long to be seated
  • Number of appointments that went over their allotted time
  • Average and maximum wait time
  • Number of appointments scheduled 
  • Number of appointments canceled 

 

Why Use the Daily Activity Report?

The report compiles major data for your team's day into a concise, easy to read report that gives you a better understanding of your practice's strengths and opportunities in:

  • Schedule management
  • Time management
  • Operatory and space management
  • Production and collection

Most of the time you'll use it to determine whether you're staying on target and to identify trends in your team's workflow. Other times, you might take a more detailed look at individual appointments or events to figure out what works best and what can be improved.  Either way, the Daily Activity Report takes a lot of the guess work out of assessing your practice's progress.

 

What the Daily Activity Report Looks Like

To access the Daily Activity Report, click Reports Reports.png in your YAPI Dashboard toolbar and select Daily Activity Report.  Then, select the date you want to review the report for and click Get.

Displays the name "Daily Activity Report" with the selected date for the report.

Select a date from the calendar for the report date you want to view.  Then click Get to load the Daily Activity Report for that day.

number5.png  Hide Patients' Names

Select this filtering option before clicking Get to hide patients' names on the report.  When selected, the report displays only first and last initials for each patient:

Clicking Get generates the Daily Activity Report for the selected date.

Clicking Email opens an email pop-up, allowing you to send both an HTML copy of the generated Daily Activity Report (that can be opened and viewed on your web browser like Chrome, Firefox, or Edge) and an .xml copy to your email address.

Clicking Print prints a paper copy of the generated Daily Activity Report.

Clicking Save saves a copy of the generated Daily Activity Report to your computer as an HTML file that can be opened and viewed on your web browser (like Chrome, Firefox, or Edge).

Clicking Save saves a copy of the generated Daily Activity Report to your computer as an .xml file that you can insert into a database. (This is not common.)

Report Sections

The Daily Activity Report has 7 major sections:

Note: The Daily Notes section and the Hide button in each section are no longer supported features.

Summary: Patients

This section shows a summary of patients, appointments, and production for the selected day:

  • Total:

Total patients seen 

  • New:

Number of new patients added 

  • Late:

Number of patients that checked in late 

  • Waited:

Number of patients that waited to be seen past their appointment time

  • Treated Longer:

Number of patients whose appointment lasted longer than their scheduled appointment

  • Avg Wait:

Average number of minutes patients had to wait to be seen 

  • Max Wait: 

The longest time any patient had to wait to be seen

  • Appt Cancelled:

Number of appointments cancelled during the day

  • Appt New:

Number of new appointments added to the schedule

  • Production:

Dollar amount generated from the day's completed appointments

  • Collection:

Dollar amount collected during the day

Summary: Providers

This section shows a summary of how many patients each provider treated, their patients' average wait time, and their production for the selected day.

Summary: Operatory Use

This section shows a summary of how long each operatory was used for and what percentage of the day it was in use on the selected day.

Patients

The Patients section shows a breakdown of each appointment for the selected day including:

  • Provider:

The patient's assigned provider for the appointment.

  • Appointment Reason:

The treatment the patient was scheduled for.

  • Sched. Production:

The amount of production generated from the scheduled appointment.

  • Appointment Time:

 The patient's appointment time.

  • Checked In:

The time the patient was checked in to the YAPI Dashboard.

  • Appointment Length: 

 The number of minutes that passed between the time the patient was checked in to the YAPI Dashboard and the time they were checked out from their operatory.

  • Treatment Started:

The time the patient was moved to their operatory in the YAPI Dashboard.

  • Operatory:

The operatory the patient was moved to in the YAPI Dashboard.

  • Checked Out:

The time the patient was checked out of their operatory in the YAPI Dashboard.

  • Dismissed:

The time the patient was dismissed from the YAPI Dashboard.

  • Waited:

The amount of time the patient waited between the time they were checked in and the time they were moved to an operatory.

  • Treatment Time:

The amount of time the patient spent in an operatory.

  • Patient Alerts:

Automated patient alerts generated from Dentrix, Open Dental, or Eaglesoft, alerts added to the patient by your team, and a breakdown of any forms that were filed during the patient's visit.

  • Routing Slip:

A summary of notes entered on the patient's Routing Slip when they were checked out and dismissed from the YAPI Dashboard.

  • Operatory Alerts:

A list of all Operatory Alerts for the operatory the patient was in during their visit.

Operatory Alerts

This section shows a breakdown of each Operatory Alert that was sent on the selected day, including the Operatory Alerts for room cleaning that automatically appear when a patient is moved from their operatory to the Check-Out Area in the Dashboard.

 

Mobile Text Log

This section shows a list of all the text communications with patients that were sent and received on the selected day.  A green checkmark Screen_Shot_2021-10-26_at_2.24.34_PM.png indicates an incoming message from a patient; all other messages in the log are outgoing.
