Using Smart Fill to Offer Open Appointment Times to Your Patients

Smart Fill helps to fill open appointments on your schedule. By taking information from the ASAP & Recall Past Due lists, the Practice Online Portal (POP) gives the ability to message patients directly to offer them your open appointment times. Follow the step-by-step instructions below to text your patients using Smart Fill

Sending Smart Fill Texts to Patients on the ASAP List

  1. Login to the Practice Online Portal.

  2. Click the Smart Fill button on the left navigation menu.

  3. The Smart Fill screen appears, displaying patients currently on the ASAP List.

  4. Optional: Click the arrow icon (mceclip3.png) next to Filter to narrow down the number of patients to message to meet the specific needs of your open appointment slots.

  5. Draft your text message in the Text Message Body field at the bottom of the page.

  6. Press the Send Preview button (mceclip1.png).

  7. Enter a phone number to receive a text message as a preview of what your patients will see.

  8. Click Send.

  9. Once you've verified the text looks good, click the Send button (mceclip2.png) beneath the Text Message Body field.

  10. Click Confirm to send the text to the patient(s).

  11. Click Ok on the confirmation screen.

Sending Smart Fill Texts to Patients Due for Recall

  1. Login to the Practice Online Portal.

  2. Click the Smart Fill button on the left navigation menu.

  3. The Smart Fill screen appears, displaying the ASAP List by default. Click the Recall Past Due icon (mceclip0.png) on the top of the page to view the patient recall list.

  4. Optional: Click the arrow icon (mceclip3.png) next to Filter to narrow down the number of patients to message to meet the specific needs of your open appointment slots.

  5. Draft your text message in the Text Message Body field at the bottom of the page.
