Introduction to Patient Alerts

What Are Patient Alerts?
Patient Alerts are icons next to a patient's avatar in the YAPI Dashboard that alert you to important information about the patient or their visit. Hovering over each icon reveals the purpose of the alert and more information tied to that alert if it's available:
Within YAPI, some Patient Alerts appear automatically based on the information you have in Dentrix, Open Dental, or Eaglesoft but you can also add a Patient Alert by selecting the patient in the Dashboard and clicking the Set Patient Alert icon at the bottom of their room.
Tip: You can control which alert show automatically for patients in YAPI's Global Setup. For more on this and how to add your own custom Patient Alerts, see Configuring Available Patient Alerts in Global Setup.
Why Use Patient Alerts?
Patient Alerts provide a lot of information about your patients at a glance and even more when you hover over each icon. This helps your team stay informed about important details that you might miss if you had to look them up. For example, if your team sees a patient is overdue for their continuing care (recall) , they can get the patient scheduled before they leave the office. Or if the patient doesn't have an email address on file , your team can make sure they ask for it.
Patient Alerts can also help you improve patient experience. Alerts like the birthday icon , the new patient icon , and the medical alert icon keep you informed so you can better personalize your interactions with patients. You can even add Patient Alerts on the spot like Patient Is Nervous or Patient Has Pain so the rest of your team can anticipate patient needs and demonstrate strong team communication.
What Patient Alerts Look Like
YAPI produces both automated Patient Alerts and alerts that you can add to a patient manually. Automated Patient Alerts appear next to the patient in the Dashboard automatically and are generated either by information in your practice management software or by processes within YAPI. Manual Patient Alerts are additional alerts your team can add to each patient as the need arises.

The patient checked in before their scheduled appointment time. |

The patient checked in after their scheduled appointment time. |

Treatment Is Running Behind Schedule |
The patient waited to be seated or they've been in an operatory longer than their appointment was scheduled for. |

No Photo |
The patient doesn't have a Patient Photo in Dentrix, Open Dental, or Eaglesoft. |

New Patient |
This patient is new to the practice. |
|
Birthday |
This patient has a birthday within a week. |
|
Recall Past Due |
This patient is overdue for their continuing care (recall). |
|
Has Balance |
This patient has an overdue balance. |
|
Patient Has Missed Appointments |
This patient missed one or more appointments. |
|
Language Other than English |
This patient is marked in Dentrix, Open Dental, or Eaglesoft as speaking a language other than English. |

Recorded Alerts |
This patient has an Alert attached to them in Dentrix, Open Dental, or Eaglesoft. |

Appointment Notes |
This patient has notes for their appointment in Dentrix, Open Dental, or Eaglesoft. |

12 or More Months Since the Last Visit |
This patient hasn't been seen for at least 12 months. |

On Interest List |
This patient is on an Interest List in YAPI. |

Documents Available (Forms have been completed but not looked at yet) |
This patient has one or more forms that need to be filed and no one has opened the folder to look at it yet. |
