Changing the Sounds for Messages & Operatory Alerts

By default in-office messages, check-in and ready alerts, and incoming texts are accompanied by a "New Message" sound (which sounds like a pin or coin dropping) if your speakers are on and your computer's sound is enabled.  If you want, though, you can customize the sound for your messages overall, further customize provider-directed messages and operatory alert notifications, or turn sounds off entirely for your workstation. Read the steps below to learn how.

Important!  Before choosing sounds in YAPI, make sure your computer's speakers are operational and turned on to preview each sound before selecting it.

Changing Sounds for In-Office Messages

Note: These changes apply only to the current workstation and apply to all incoming messages and notifications except for Operatory Alerts and provider messages that have been assigned their own separate sound.

By default, all in-office messages and incoming patient texts have the same "New Message" sound attached, which sounds like a pin or coin dropping.  You can change the sound associated with these messages on your workstation in the workstation's Local Setup:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Local Setup.

  2. In the Local Configuration window that pops up, navigate to the purple Sound and Color section.

  3. Click the Configure button next to Message:

    Note: Attention is no longer supported as a separate setting.  Configuring the sound for Message applies to all incoming messages and notifications except for Operatory Alerts and provider messages that have been assigned their own separate sound.
  4. In the Select Audio File window, select a sound from the list and click Ok.

  5. Click Save.

 

Setting Sounds for Operatory Alerts

Note: Changing to an Operatory Alert sound applies the change to all practice workstations.

By default, operatory alerts don't have sounds attached to them but you can add a sound for each specific alert in your practice's Global Setup:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. In the Global Setup window that pops up, navigate to the Op Alerts tab.

  4. Click the blue text in the Sound column next to the Operatory Alert you want to assign a sound to.  (By default, this is set to "No sound" but if the operatory already has a sound assigned to it, you'll see the name of the sound there.)

  5. In the Select Audio File window, select a sound from the list and click Ok.

  6. Click Save, then OK.

 

Setting Sounds for Provider-Directed Messages

Note: Changing a Provider's sound applies the change to all practice workstations.

Provider-directed messages include messages that send in a provider's color:

  • When they're summoned to an operatory.
  • When their patients are checked in or set to ready.
  • When the message is sent via the Message to Provider option under YAPI's Communication Tower Communication.png

By default, these messages notifications don't have sounds attached to them and default to the workstation's "New Message" sound (which sounds like a pin or coin dropping).  You can choose a sound, though, that's specific to each provider in your practice's Global Setup:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. Navigate to the Providers tab.

  4. Right-click on the name of the provider whose sound you want change and select Set Sound.

  5. In the Select Audio File window, select a sound from the list and click Ok.

  6. Click Save, then OK.

 

Disabling All YAPI Sounds on a Workstation

Note: These changes apply only to the current workstation.

If you don't want to hear sounds when you receive messages on your workstation, you can disable YAPI's audio:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Local Setup.

  2. In the Local Configuration window that pops up, navigate to the purple Sound and Color section and deselect the Audio on checkbox:
