Changing Daily Activity Report Settings

YAPI's Daily Activity Report is like your practice's daily report card: it provides details about each appointment for the day and shows you how well your team did overall.  If you want, you can change several of the settings for the report by following the directions below.

Choosing Items to Display on the Report

While most of the items on YAPI's Daily Activity Report can't be changed, you can choose to remove or display: 

To change which of these items you want to display on your practice's Daily Activity Reports:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. In the Global Setup window, navigate to the Reports tab:

  4. In the green Daily Activity Report section, select the following to display them on your Daily Activity Reports (or deselect them if you don't want them to display):

    • Include Medical Alerts

    • Include Operatory Alerts

    • Include Care Call List

    Note: Include PMS Recorded Alerts is no longer supported.  Selecting or deselecting this option has no effect on your Daily Activity Report.
  5. Click Save, then Ok.

 

Choosing Appointments to Flag in Red

On the Daily Activity Report, YAPI "flags" appointments in red when there was a timing issue so can see any trends in your team's workflow that may need to be improved.  By default, appointments are flagged in red when:

  • A patient was checked in 10 or more minutes past their appointment time.
  • A patient waited to be seen for 10 or more minutes past their appointment time.
  • A patient's treatment took 10 or more minutes longer than it was scheduled for.

If you want, you can change which of these items are flagged on the report and/or the amount of time that triggers the appointment to be flagged:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. In the Global Setup window, navigate to the Reports tab:

  4. In the green Daily Activity Report section, locate Flag the Following Events.

    • To change the minimum amount of time that has to pass for YAPI to flag appointments on the report:

      • For late patients: Select the The patient was late checkbox and change the number of minutes in the box next to it.

      • For appointments where a patient waited: Select the The patient has waited checkbox and change the number of minutes in the box next to it.

      • For appointments where treatments ran over: Select the Treatment has taken checkbox and change the number of minutes in the box next to it.

    • To disable flagging:

      • For late patients: Deselect the The patient was late checkbox.

      • For appointments where a patient waited: Deselect the The patient has waited checkbox.

      • For appointments where treatments ran over: Deselect the Treatment has taken checkbox.

  5. Click Save, then Ok.

 

Setting How Long YAPI Saves Old Reports

Important!  Changing these settings cannot bring back reports that are older than the length of the current setting.  For example, if your reports are set to save for 30 days, changing the setting to 90 cannot bring back a report from 90 days ago.

By default, YAPI saves each day's Daily Activity Report for 30 days.  You can change the amount of time YAPI saves these reports in Global Setup:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. In the Global Setup window, navigate to the Reports tab:

  4. In the green Daily Activity Report section, locate the Keep option and:

    • To change the amount of days that YAPI saves your Daily Activity Reports, change the number in the days of events box:

    • To keep all Daily Activity Reports forever, select the all events checkbox:

  5. Click Save, then Ok.
