Preparing to Switch Softwares Between Dentrix, Open Dental, and Eaglesoft
If your practice is changing the practice management software you use (to Dentrix, Open Dental, or Eaglesoft), there are a few steps you need to take to ensure that YAPI continues work smoothly. We recommend taking the steps below to prepare YAPI for this switch and to set up your new practice management software (PMS) so it integrates properly with YAPI.

Step 1: Preparing YAPI
Before switching to your new practice management software (PMS):
File all unfiled iPad and online forms that are still in the YAPI Dashboard. This prevents forms from and data from being lost when you change from one PMS to another. Specifically, changing your PMS requires a new YAPI plugin and new Patient Information and Medical History forms, so if you don't file your forms before you switch over, they may be lost or their data may not transfer properly.
Schedule a plugin update with our Technical Support team. For YAPI to work with your new software, our team needs to install a different plugin specific to that PMS. We recommend you schedule this appointment in advance but make sure it falls after your new PMS has been installed and all patient data has been migrated over.

When scheduling, please include the names of your new and old PMS in the Anything else our team should know? section:
Temporarily stop your YAPI Service on your practice's server during the switch. It's best for your YAPI service to be completely off while you switch over to your new PMS. Step 2: Moving to Your New Practice Management Software
Once you've prepped YAPI and scheduled your plugin update, you can move over to your new PMS. These are the steps we recommend:
Transfer all patient, provider, and settings data to your new PMS. The process for this varies depending on the PMS you're moving to. For more information about moving your patient data, check out the resources below from the Dentrix, Open Dental, and Eaglesoft websites:
Once all data is transferred, confirm that the following are configured the way you want them within your new PMS. (These affect how YAPI integrates once we update your plugin.)
- Your available operatories
- Your list of providers
- Your practice and provider schedules
- Your lists of medical conditions, allergies, and medications
Back up the database for your old PMS. This ensures you have your data somewhere in case of an issue with your new software.
Step 3: Completing Your Plugin Update
A member of our Technical Support team will call you for your plugin update appointment on the date and time you scheduled. During that appointment, make sure you can provide the technician access to your server.
