Enabling Automated Birthday Emails

Sending a birthday email to your patients is a great way to stay in touch and let them know you care. YAPI can even automate the process so you don't have to think about it!  YAPI even comes installed with a Birthday Email template; all you need to do is enable the automation using the instructions below.

Tip: You can customize the text of your automated Birthday Email template too!  Just follow the steps in Editing an Existing Email Template.

Enabling Automated Birthday Emails

To enable birthday emails that send automatically to your patients:

  1. From the YAPI Dashboard, click Setup and Manage Setup_and_Manage.png and select Global Setup.

  2. When prompted, enter your YAPI password and click OK.

  3. In the Global Setup window that pops up, navigate to the Automation tab and locate the green Email Birthday Card section:

  4. Select the Email checkbox.  In the days before event box next to it, enter the number of days before the patient's birthday that you want them to receive their birthday email.  We recommend setting this to "1."

    Important! DO NOT leave this number at 0.  This can prevent your birthday emails from sending.
  5. Select the Active patients only checkbox.  This ensures that birthday emails only go out to active patients.

  6. Next to Template, click the double arrow button >> and select the template called "GT - Happy Birthday General."  Then click Select:

  7. Click Save, then OK.
