Sending Individual Texts from the Dashboard

With 2-way texting, YAPI makes it easy to communicate with your patients right from your desktop Dashboard.  To learn how to message patients and respond to their texts, follow the directions below.

Note: This article covers how to send texts to patients from the desktop Dashboard.  If you want to text a patient from the Practice Online Portal (POP), see Sending Text Messages with the Practice Online Portal instead.

Texting from the Dashboard

There are multiple ways to text from the YAPI Dashboard, depending on whether or not the the person you're texting is a current patient in Dentrix, Open Dental, or Eaglesoft and whether you're simply responding to a text:

Texting a Patient Who's Already in Dentrix, Open Dental, or Eaglesoft

If a patient has a profile in your practice management software, you can send a text directly from the Patient Finder without having to copy and paste the patient's phone number:

  1. From the YAPI Dashboard, click Patients Patients.png and select and select Patient Finder.

  2. In the Patient Finder, enter the patient's last name in the search box, then click Search.

  3. Locate the patient in your search results and click on their mobile phone number:

  4. In the Send Mobile Text pop-up, compose your text by doing one of the following:

    • Type in Your Own Message: Type your message in the box labelled Type Message Here.

    • Use a Canned Message: Click Canned Messages and select a pre-composed message from the list:

      Note: To use Canned Messages, you must first compose your pre-written messages using the instructions in Adding, Editing, and Deleting Canned Text Messages.
    • Use a Pre-Made Template: Click Templates, and select a pre-composed template from the list.  Then click Select:

      If you selected a template that contains Merge Tags (words surrounded by double brackets), manually replace the merge tags with the patient's information.  Merge Tags are not supported in manually sent texts:

  5. Optional: Click Spell Check to identify misspelled words and correct them before sending your message.

  6. Click Send.

Tip: You can also text existing patients from Today's Schedule and your Recall Due and Past Due  reports.  In any of these lists, just click on the patient's mobile number to open the Send Mobile Text window and enter your message.

Texting a Person Who's Not a Patient in Dentrix, Open Dental, or Eaglesoft

If you need to send a text to a non-patient contact or a new patient who doesn't have a profile in your practice management software yet, you can send a text from the Communication Tower:

  1. From the YAPI Dashboard, click Communication Communication.png and select and select Send a Mobile Text Message.

  2. In the Mobile Phone box, enter the person's mobile phone number...

    ...OR, if the person is a frequent non-patient contact that you've added to your Contacts list, click Contacts:

  3. Compose your text by doing one of the following:

      • Type in Your Own Message: Type your message in the box labelled Type Message Here.

Responding to a Text Someone Sent You

If you've set your workstation to receive text notifications, you can respond to a text right from the message popup:

  1. On the message, click the Chat icon Chat.png and select Reply:

  2. In the Send Mobile Text pop-up, compose your text by doing one of the following:

    • Type in Your Own Message: Type your message in the box labelled Type Message Here.
