Setting YAPI to Keep Copies of iPad Forms for Longer than 99 Days
As a failsafe, YAPI tries to save an extra copy of each form a patient completes on an iPad and stores these in the Retrieve Recent Documents feature in the Tools menu. To make sure you have time to recover any missing forms while also not overloading your server with unneeded files, YAPI automatically removes each copy after 99 days, but you can change this amount of time by following the steps below.
Note: The longer you set YAPI to store forms without deleting them, the more server space is needed. (And how much depends on the volume of your practice.) We recommend you consult your IT professional before making this change to ensure you have plenty of server space.

Changing the Keep Documents Setting
To change the amount of time YAPI saves an extra copy of each iPad form:

From the YAPI Dashboard, click Setup and Manage and select Global Setup.

When prompted, enter your YAPI password and click OK.

Navigate to the Documents tab and locate the pink section in the top left.

Next to Keep Documents, select the number of days you want YAPI to save an extra copy of each completed iPad form before deleting it automatically to save space.

Click Save, then OK, then OK again. You do not need to restart your workstation.
Why not keep these extra copies forever? Every extra copy takes up space on your server, so if YAPI doesn't purge these regularly, you can fill up your server's memory, making it impossible for YAPI or your practice management software to function properly. Since these are only kept as a failsafe, they're not really needed for very long after they're saved and just take up extra space.
