YAPI automatically tracks each step a paperless form takes from assigning it to a patient to filing into Dentrix, Open Dental, or Eaglesoft. This helps our team (and yours) to track a form in the Document Events Log if there's an error and to restore it whenever possible. YAPI automatically deletes events in the Document Events Log that are older than 99 days but if you want YAPI to keep these records for longer, you can change this length of time by following the steps below.
Note: The longer you keep records in the Document Events Log, the more server space is needed. (And how much depends on the volume of your practice.) We recommend you consult your IT professional before making this change to ensure you have plenty of server space.

Changing the Document Events Log Setting
Each step a form takes on its journey from the patient to your practice management software is considered a "Document Event" that's save to the Document Events Log. To change the amount of time YAPI keeps each Document Event:
From the YAPI Dashboard, click Setup and Manage and select Global Setup.
When prompted, enter your YAPI password and click OK.
Navigate to the Documents tab and locate the pink section in the top left.
Next to Purge Document Events after, select the number of days you want YAPI to save each Document Event. YAPI will delete each Document Event after this amount of days has passed.
Click Save, then OK, then OK again. You do not need to restart your workstation.
Why not keep records forever? Every piece of data takes up space on your server, so if YAPI doesn't purge these records regularly, you can fill up your server's memory, making it impossible for YAPI or your practice management software to function properly. Think of it as cleaning house!
