Troubleshooting Errors When Creating Interest Lists

Troubleshooting Interest List Errors

Click on the issue you're experiencing below for troubleshooting instructions:

OMG! Error: System.IO.IOException: The process cannot access the file

This error message pops up when the Interest List file you're trying to import is open in Excel or another program. To troubleshoot, simply close that program.  Click Continue to close the error window in YAPI and then try importing the list again.

OMG! Error: System.ArgumentOutOfRangeException:Index and length must refer to a location within the string.

When creating an Interest List by importing a list of existing patients, this message pops up when the wrong item is selected in the Separator menu, usually when there is a patient that has a suffix in their name like "Jr." or "Sr."

To troubleshoot:

  1. Click Continue.

  2. Close the Import Interest List window, then click New to start over with naming and importing your list.

  3. In the Separator menu:

    • If you selected Comma as the Separator before, select Tab instead:

    • If you've selected Tab as the Separator before, select Comma instead:

  4. Click Load and continue creating your Interest List as you normally would.

 

OMG! Error: System.ArgumentException: The output character buffer is too small to contain the decoded characters

When creating an Interest List by importing a list of existing patients, this message pops up when at least one piece of information in the interest list file contains a special character.  This is usually a patient name with a non-English character like é or ü.

To troubleshoot:

  1. Close the Import Interest List window.

  2. Open your Interest List file (the one you're trying to import):

    • Dentrix & Eaglesoft Users: Open in Excel.
    • Open Dental Users: Open in Notepad.

  3. Locate any names that contain special characters and replace these characters with the closest English equivalent.

  4. Save your file and close it.

  5. Click New to create your Interest List with your fixed file.

OMG! Error: System.ArgumentException: The ColumnName is required when it is part of a Data Table

When creating an Interest List by importing a list of existing patients, this message pops up when the file you're importing contains an extra blank column.

To troubleshoot:

  1. Open your Interest List file (the one you're trying to import):

    • Dentrix & Eaglesoft Users: Open in Excel.
    • Open Dental Users: Open in Notepad.

  2. Remove the extra column or tab spacing from your file. (Dentrix users, your lists should only contain patients' last name, first name, and patient ID; Open Dental and Eaglesoft users, your list should only contain patients' last name, first name, and birthdate.)

  3. Save your file and close it.

  4. Click New to create your Interest List with your fixed file.

Error [E854] Unable to add new list. Make sure that the name of the list is not used already

This error message can appear at different times, indicating different causes.  You may see this error when naming your Interest List or when importing a list of existing patients.  See troubleshooting instructions for each situation below.

If you see this error when naming an Interest List

This indicates there is an apostrophe in the name you've typed in.  To troubleshoot:

  1. Close the error message.

  2. Click New List and type in the name for your Interest List without any apostrophes.

If you see this error while trying to import a list of existing patients 

This message appears if a provider wasn't selected from the Provider dropdown list before clicking the Process button.  It usually appears after you've already dismissed Error [E859], even if you've already selected a provider.  To troubleshoot:

  1. Make sure a provider is selected from the Provider dropdown menu:

  2. Click the Process button and wait several minutes.

  3. Close the Import Interest List window and the Manage Interest Lists window.  Then, return to Manage Interest Lists (Click Setup and Manage Setup_and_Manage.png, then Manage Interest Lists).  You should see your list appear. If your list didn't appear, recreate the Interest List, this time making sure to select a provider from the Provider dropdown before clicking Process.

 

Error [E857] List already exists

When naming an Interest List, this message appears when the name you've entered is the same as an existing Interest List:

To fix this, simply change the name you've entered for your Interest List:

Error [E859] Unable to add to Interest List. ERROR: AddToMList invalid parameters

This message appears if a provider wasn't selected from the Provider dropdown list before clicking the Process button.  It's often followed by an [E854] error message as well.

To troubleshoot:

  1. Make sure a provider is selected from the Provider dropdown menu:

  2. Click the Process button and wait several minutes.

  3. Close the Import Interest List window and the Manage Interest Lists window.  Then, return to Manage Interest Lists (Click Setup and Manage Setup_and_Manage.png, then Manage Interest Lists). You should see your list appear. If your list didn't appear, recreate the Interest List, this time making sure to select a provider from the Provider dropdown before clicking Process.

 

I can’t choose First Name, Last Name, Birthdate, and/or ID because the options don't match

When importing an existing list of patients to create an Interest List, the items in the Define Fields menus should all be listed separately, one item on each line.  You may, however, see multiple items combined onto one line, so that you can't select them separately:

This could be caused by one of two things:

  • The wrong Separator (Comma or Tab) is selected.
  • The file you imported has invalid data or the data is formatted incorrectly.

To troubleshoot:

  1. Try changing the Separator:

    • If you've selected Comma as the Separator, select Tab instead:

  2. Click Load and check the lists in Define Fields again.

    • If the items in each list appear separately now: You've fixed the issue and can continue creating your Interest List.

    • If the items still don't appear separately in the lists: Proceed to the next step.

  3. Open your Interest List file in Notepad.  Check to see if your data is formatted exactly as shown in the "Creating an Interest List from an Existing List of Patients" section of Creating Interest Lists for Targeted Email Blasts.  If the data isn't formatted correctly: 

    • Dentrix & Eaglesoft Users: Close the file in Notepad and reopen it in Excel.
    • Open Dental Users: Keep the file open in Notepad.

  4. Delete any unneeded rows and/or columns and make sure your data is formatted exactly as shown in Creating Interest Lists for Targeted Email Blasts.

  5. Resave your file and close it.

  6. In YAPI, import your Interest List file again.  If you still experience issues, we recommend you export the list again from Dentrix, Open Dental, or Eaglesoft using the instructions in Creating Interest Lists for Targeted Email Blasts.  Something may have gone wrong when the original file was created, so making and formatting a new file following those directions should solve the issue.
